This article will walk you through the steps to connect your Melio account and organization with QuickBooks Desktop.
The process includes 4 main steps:
- Step 1: Download the QuickBooks Web Connector application file while in your Melio account.
- Step 2: Create the connection by following the instructions In QuickBooks Desktop.
- Step 3: Copy your password from your Melio account and paste it where prompted in QuickBooks Desktop.
- Step 4: Verify your connection in your Melio account and start the sync.
A few things to check before you start
- Sign in to the Melio account and organization you’d like to sync with QuickBooks Desktop.
- Open QuickBooks Desktop on your computer desktop.
- Confirm the version is 2020 or newer.
- Confirm the version is for Windows.
- Make sure to open the relevant QuickBooks company.
Before you start: Go to your Melio account
1. Sign in to your Melio account.
2. Click Settings in the left sidebar.
3. Click Sync and import.
4. Under QuickBooks Desktop, click Connect.
Step 1: Download the QuickBooks Web Connector application file
The QuickBooks Web Connector works with QuickBooks as an integrated application. When an integrated application gets data from your company file, QuickBooks checks that the application has the right access.
5. In Download the Web Connector application file, click Download file.
Step 2: Follow the connection guide instructions
6. Once downloaded, run the QuickBooks Web Connector application file. It should look like this: name of your business-melio.qwc
7. In Authorize New Web Service, click OK.
8. Go back to QuickBooks Desktop.
9. In QuickBooks - Application Certificate, select Yes, always; allow access even if QuickBooks is not running.
10. In Sync MelioPartner - [name of company] - Authorization, click Yes to give access even when QuickBooks isn’t running.
11. In QuickBooks - Application Certificate, click Continue…
12. In Access Confirmation, click Done to approve.
13. In QuickBooks Web Connector, check the box to the left of Sync MelioPartner - [your company name].
14. You’ll be asked to enter a password. Go back to your Melio account.
Step 3: Copy your password and paste it where prompted
15. Under step 3, click Copy.
16. Go back to QuickBooks.
17. In Password Required, paste the password you just copied. Click OK.
18. When asked Do you want to save this password? click Yes.
19. The web connector is configured successfully. You should see the progress bar begin to indicate progress.
Important note: Don’t close the web connector until the process reaches 100% in the progress bar. It can take up to 2 minutes.
20. Click Hide.
The connector is running in the background to allow constant sync between the two accounts.
You should see it when you show the hidden icons in your windows toolbar.
Note: Closed the connector by mistake?
1. Go to the Start menu.
2. Click QuickBooks.
3. Select Web Connector from the list.
4. The connector will open again.
Step 4: Verify your connection to QuickBooks Desktop
Return to your Melio account.
21. In step 4, click Verify connection to finalize the connection.
22. Your QuickBooks Desktop account was verified successfully.
Make sure the organizations listed are the ones you want to connect. Click Connect to complete connecting your QuickBooks account to your Melio account.
Note: One of the organizations is wrong, what should I do?
The two organizations that are open in both your QuickBooks Desktop and Melio are the ones connected in this process.
Here’s what to do If one of these is the wrong one:
1. Click Cancel.
2. Sign in to the right Melio account.
3. Open the right company in QuickBooks Desktop.
4. Start the connection process again.
23. Syncing your information to Melio might take a few minutes.
That’s it, your accounts are connected and synced successfully.
In Settings, under Sync and import, you can see that QuickBooks Desktop is connected. You can also see when the last sync was.
To initiate a sync, click the sync icon or Sync now here.
